About the Position:

This role is an on-campus, in-person position.

The Administrative Assistant provides professional and highly skilled administrative support for the Chief Diversity Officer (CDO) including calendar and meeting management, presentation or meeting preparations, logistics and guest relations. He/She/They cultivate and maintain high-level interactions with the Office of the President, Office of the Provost, Vice-President of Student Affairs to coordinate joint meetings and activities. The position acts as the central point of contact for inquiries and requests for the Office of Diversity and Inclusion and maintains an office atmosphere that is welcoming to all Mustangs. The position exercises discretion and independent judgment with respect to matters of significance and confidentiality according to University procedures.

Essential Functions:

  • Provide front desk customer/client support by opening and closing the office during regular business hours; answering and assisting callers and responding inquiries to the office email account. Maintain a warm and welcoming office for guests including basic greetings, providing helpful information and hospitality while waiting. Ensure that all equipment is in working order.

  • Support the Chief Diversity Officer's administrative needs including maintenance of the CDO's sphedule and calendar; travel logistics, meeting requests and logistics, presentation preparation and official correspondence. Develop and maintain the filing and record keeping system for activities and correspondence of the COO and the Office of ODI including the handling of confidential materials.

  • Management of the budget and procurement needs of the Office of Diversity and Inclusion. This includes maintaining proper supplies necessary for the efficient working of the office; reconciliation of P-Card and travel expenses of the Chief Diversity Office, etc.
  • Maintain strong professional working relationships with the administrative staff of the Office of the President, President's Executive Committee; Business and Finance; Athletics, and the Department of Human Resources.


Qualifications

Education and Experience:

A high school diploma, or equivalent, is required. A bachelor's degree is preferred.

A minimum of three (3) years of experience providing administrative support to managerial personnel is required. Candidates with previous work experience in customer service or hospitality is preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Software Skills: Microsoft 360; Microsoft Teams; and Zoom

Physical and Environmental Demands:
  • Sit for long periods of time
  • Carry/Lift up to 25 lbs.
